ICML 2009: Papers

Oral Presentations

All presenters are required to pay the registration fee and attend the International Congress on Medical Librarianship. You can register by visiting the Congress website at www.icml2009.com We recommend you take advantage of the early bird fee which is available until Friday 15 May 2009.

Your oral presentation should be prepared in PowerPoint 2003 or earlier (.ppt).

Check in at the Speakers' Preparation Room at least two hours before your session commences, (or the day before if presenting in an early morning session) and provide a copy of your PowerPoint presentation (CD-ROM, USB storage device) to the technician on duty.

Please check in at the Speakers' Preparation Room even if you do not have any slides for presentation.

Please arrive in the presentation room 10 minutes before the start of the session to meet the chairperson and other presenters and to familiarize yourself with the equipment.

The following audiovisual equipment will be provided: laptop with PowerPoint projection and connection to the Internet, chairperson / timer, laser pointer and lectern with microphone.

The presentation should not be used for commercial marketing purposes.

Instructions for Papers

Each of the oral presentations requires submission of a paper in electronic form. The paper should be single-spaced, 12 point font size, in Word (as a .doc (Word 2003) or .docx (Word 2007) file) or RTF format.

A conference paper consists of:

  • Title of the paper (same as the abstract submission)
  • Name(s) of speaker(s), their Institution, city and country
  • Names of all authors (same as the abstract submission)
  • Abstract (same as the abstract submission)
  • Full text
  • Vancouver format for references

The minimum length is 3 pages and the maximum length of papers is 21 pages (single-spaced).

The layout of the "title page" will be created by ICML staff, according to the data provided and PDF files will be created to be used for the ICML website.

Please avoid using unexplained acronyms, sets of initials, jargon and phrases which an international audience may not understand.

For publication on this website after the Congress, the full text of the paper with abstract must be submitted via email to icml@library.uq.edu.au no later than Friday, 31 July 2009. Earlier submission would be appreciated.

Speakers are urged to comply with this deadline. If the committee has received no paper or contact by this deadline, your presentation will be removed from the program.

It should be noted that full papers on the website will only be accessible to paid delegates for the first year after the Congress. After this time, the papers will be available publically.

ICML has first publication rights to papers presented at the Congress, though copyright is retained by authors.

Guidelines for PowerPoint Presentations

General Guidelines and Appearance:

  • Presentations should not contain full paragraphs of text.  Use a bulleted list or outline format and elaborate on the points in your talk.
  • Include a title that summarizes the information presented on each slide.
  • Use a font such as, Arial or Helvetica. This is because in the projection process letters lose some of their sharpness, and serif type (like Times) can look muddy when projected.
  • Use large fonts, as big as realistically possible. Small fonts are hard to read.  Along the same lines, don't put more than a few lines of text on a slide.
  • Use contrasting colours either a dark background with light text or a light background with dark text.
  • Avoid busy backgrounds that will make the text hard to read. Keep the background simple.
  • AVOID ALL CAPS! All caps look like you're shouting.
  • Include a good combination of words, pictures, and graphics. Variety keeps the presentation interesting.

Suggested content of the Power Point Presentation:

  • Title
  • Objectives
  • Methods
  • Results
  • Conclusion
  • References (or just a couple of the major references)
  • Email for future contact
